Scheduling
AI appointment scheduling for clinics
Every caller reaches a scheduler. Nights, lunch hours, and the third simultaneous call included.
Clinivocx schedules appointments over the phone: it checks availability against your booking rules, books, reschedules, or cancels, and offers a waitlist slot when the calendar is full. Appointments live in your Clinivocx dashboard and are pushed to your systems through HMAC-signed webhooks. Available 24/7, in six languages.

Hi, I need to get my son in with Dr. Patel. He's due for his school physical.
I can book that. For a well-child visit Dr. Patel has Thursday at 3:40 PM or Friday at 9:20 AM. Which works better?
Thursday, please.
Booked, Thursday at 3:40 PM with Dr. Patel. I'll call the day before to confirm, and you can move it on that call if anything changes.
The short version
What AI appointment scheduling actually means
A definition you can quote, without the vendor fog.
AI appointment scheduling books a patient into a real, rule-checked slot during the phone call itself, with no staff member on the line. With Clinivocx, patients can schedule, reschedule, or cancel over the phone, day or night, with no voicemail and no hold time.
That is the whole difference from a message-taking service. A message creates a task for tomorrow morning. A booking closes the loop while the patient is still on the phone and still motivated to come in.
Booking rules
Your scheduling rules, applied on every call
You configure the rules once. The AI never improvises around them.
| Booking rule | How Clinivocx applies it |
|---|---|
| Visit types and lengths | Offers only the appointment types you allow, at the durations you set |
| Provider and location | Books the right provider at the right site; never cross-books a location |
| New vs established patients | Routes new patients into longer intake slots when your rules require it |
| Buffers and blocked time | Respects lunch, admin blocks, meetings, and gaps between visits |
| Same-day and acute slots | Protects the slots you hold for acute visits and releases them by rule |
| Daily caps | Stops offering times once a provider's day reaches the cap you set |
| Cancellation notice | Applies your notice window and records the reason the patient gives |
| Waitlist | Adds the patient to the waitlist and calls back when a slot opens |
Rules are set during onboarding and can be changed any time. See the configuration and go-live sequence on how it works.
Cancellations and waitlists
A cancellation is a rebooking opportunity
The slot is only lost if nobody is offered it.
Reschedule on the call
Before ending a cancellation, the AI offers alternative times. Most callers take one rather than call back later.
Waitlist by preference
Patients who wanted an earlier visit are stored with the days and time windows that actually work for them.
Automatic backfill calls
When a slot frees up, waitlisted patients are called inside your calling windows, in order, until it is taken.
Backfill and reminder calls run on the same outbound engine, with calling windows, attempt caps, and per-patient do-not-contact rules. See automated reminders and recalls.
Where the appointment lives
No EHR write-back, and we will not pretend otherwise
An honest answer to the question every practice asks second.
The Clinivocx dashboard
Every appointment the AI books, moves, or cancels appears there with the call transcript attached.
HMAC-signed webhooks
Booking, reschedule, and cancellation events are pushed to any endpoint you own, signed so you can verify them.
The morning handoff
Overnight bookings arrive as a summary with action items, so your front desk starts the day knowing what changed.
Clinivocx does not read from or write to an EHR, EMR, or external calendar. That is a design choice, not a gap we are hiding: the less protected health information a phone agent touches, the smaller the security surface and the faster you go live.
Practices that need native write-back should buy a product that offers it. Practices that want the phones covered this month should not have to run an integration project first. See what we handle, hand off, and never touch on the AI medical receptionist pillar.
Limits, stated up front
What the scheduler will not do
A scheduling agent is only trustworthy if its boundaries are published.
The AI does not decide whether a symptom can wait. If a caller describes a red flag such as chest pain, difficulty breathing, or severe bleeding, booking stops and your escalation protocol runs instead. It does not give clinical advice about how urgently someone should be seen.
It also does not invent answers. Coverage questions, prior-auth questions, and anything outside your knowledge base become action items for a named staff member, with the caller told plainly that someone will follow up. The full escalation rules are on how it works.
What it costs
Flat pricing, no per-booking fee
Scheduling is included in every tier, not sold as an add-on.
Clinivocx is $799 per month for a single-provider practice, $1,999 for 2-3 providers, and $4,999 for 4 or more. There is no charge per booked appointment and no per-minute meter, so a busy scheduling week does not change the bill. See full pricing or read patient scheduling best practices.
