Outbound campaigns

Automated appointment reminders and recalls

Reminder calls that can also move the appointment, and recall calls that fill next week.

Clinivocx places automated appointment reminder calls ahead of each visit and recall calls to patients who are overdue to be seen. The AI identifies itself, confirms the appointment, and reschedules on the same call if the time no longer works. Reminders are voice calls, not texts.

OUTBOUND REMINDER · 5:12 PM
AI

Hello, this is the automated assistant calling for Lakeside Family Medicine. I have Maria's appointment with Dr. Alvarez tomorrow at 10:15 AM. Can she still make it?

Caller

Tomorrow won't work, I have to be at my daughter's school.

AI

No problem, I can move it now. Dr. Alvarez has Thursday at 8:30 AM or Friday at 2:00 PM.

Caller

Thursday morning is better.

AI

Moved to Thursday at 8:30 AM. Nothing else is needed today, and the office will see the change this evening.

Reminder calls

A reminder that can fix the problem it finds

Confirming is half the job. Rebooking on the spot is the other half.

A standard reminder tells the patient about a conflict they already know about and then hangs up. The patient means to call back, and often does not. Because Clinivocx is the same agent that answers your inbound line, it can check availability and move the visit inside the reminder call itself.

It says what it is

The call opens by naming your practice and stating that the caller is an automated assistant.

Confirm, move, or cancel

Three outcomes, all handled live. A cancellation releases the slot to your waitlist.

Written up like any call

Every reminder produces a transcript, summary, and action items in your dashboard.

Campaign controls

You set the rules the dialer obeys

Outbound calling to patients is a trust exercise. Every limit here is enforced, not advisory.

Campaign controlWhat you configure
Calling windowThe earliest and latest times a patient may be called, in your local time zone
Days of the weekWeekdays only, or include Saturdays; days you exclude are never dialed
Reminder timingHow far ahead of the visit the first call goes out, per appointment type
Maximum attemptsA hard cap per patient per campaign; the campaign stops there, always
Retry spacingMinimum hours between attempts, so nobody is called twice in an hour
Do not contactPer-patient DNC flags are enforced automatically and cannot be overridden by a campaign
LanguageThe call is delivered in the patient's preferred language, from six supported
Unanswered calls[PLACEHOLDER: confirm voicemail-drop behavior and the exact message left]

Do-not-contact is the one setting that cannot be argued with. If a patient is flagged, no campaign reaches them, regardless of how the campaign was built or who launched it.

Recall campaigns

Calling the patients who are not on the schedule

The overdue annual, the six-month follow-up, the lab review nobody booked.

Recall is the outbound work that never gets done, because it is nobody's job at 4:45 PM. Give Clinivocx a list of overdue patients and it works through them inside your calling windows, explains why the practice is reaching out, and books the visit when the patient is ready.

The same engine backfills cancellations from your waitlist, so a slot that opens on Tuesday morning does not sit empty until someone has time to work the phone.

Being straight about the channel

These are phone calls, not text messages

What we do, and what you should keep doing elsewhere.

Clinivocx does not send SMS or email reminders. Voice is what we do, and a voice reminder has one real advantage over a text: the patient can answer, ask a question, and reschedule without opening another app. It also has a disadvantage, which is that some patients prefer a text. Run both if that suits your panel.

If you are writing your own text reminders, we published 20 appointment reminder text examples and timing guidance. For the broader playbook, see how to reduce patient no-shows.

Who gets called

Your list, your rules, your exclusions

Outbound calling goes wrong when the practice loses control of who is on the list.

You decide which patients enter a campaign, and the practice remains responsible for the consent and contact preferences behind that list. Clinivocx enforces what you tell it: excluded patients are never dialed, and a do-not-contact flag survives every future campaign without needing to be reapplied.

When a patient asks to stop receiving calls during a conversation, the AI acknowledges it, ends the call politely, and records the request as a do-not-contact action in your dashboard rather than leaving it to someone to remember.

Included, not extra

Reminders and recalls ship in every tier

No per-call outbound charge and no campaign add-on fee.

Outbound reminder and recall campaigns are part of the same flat plan as 24/7 answering: $799 per month for one provider, $1,999 for 2-3, $4,999 for 4 or more. See pricing, or read how the inbound side books the appointments these calls confirm on AI appointment scheduling.
